How to Set the Response Interval for Autoresponders using cPanel
Introduction
This Knowledge Base article provides a simple, step-by-step guide on How to Set the Response Interval for Autoresponders using cPanel. The response interval determines how long an autoresponder waits before sending another automatic reply to the same email address, preventing recipients from receiving multiple responses in a short period. Use this guide when you need to configure how frequently your autoresponder sends replies to the same sender.
Prerequisite
- Access to your cPanel login page.
Step-by-Step Guide
Step 1: Log in to cPanel
-
Access your cPanel account using your username and password.
Step 2: Open Autoresponders
- In the Home page, under the Email section, click Autoresponders.
Step 3: Select Your Domain
- From the Managing menu on the top left side of the interface, select the domain for which you want to configure an autoresponder.
⚠️ Important Note:
- Select All Domains if you want the autoresponders to be applied to all of your domain.
Step 4: Create or Edit Autoresponder
- Click Add Autoresponder to create a new one, or click Edit next to an existing autoresponder.
- The autoresponder configuration interface will appear.
Step 5: Configure the Response Interval
- In the Interval field, enter the number of hours the autoresponder should wait between responses to the same email address.
⚠️ Important Note:
- Enter 24 to respond only once every 24 hours to the same sender.
- Enter 0 to send an autoresponse to every email without any interval restriction.
Step 6: Complete Additional Settings
- Fill in the required fields: Email, From, Subject, and Body.
- Configure other settings as needed (Character Set, HTML option, Start/Stop times).
- Click Create or Modify apply the configuration.
Step 7: Verify Changes
- A confirmation message will appear indicating that the autoresponders has been updated.
- Additionally, you may send test emails from the same address at different intervals to verify the autoresponder responds according to the configured interval.
⚠️ Important Note:
- Interval in hours: The number of hours the autoresponder waits before responding again to the same email address.
- Example: An autoresponder with a 24-hour interval that receives an email at 8:00 AM on Monday immediately responds. It will not respond again to emails from the same address until 8:00 AM on Tuesday.
- Setting interval to 0: The system sends an autoresponse to every email without any waiting period. Use this cautiously as it may result in excessive autoresponses.
- Recommended intervals: 24 hours for out-of-office messages, 48-72 hours for vacation notices.
Conclusion
By following these steps, you can set the response interval for autoresponders using cPanel. Configuring an appropriate interval prevents recipients from receiving excessive automatic replies while ensuring they get timely responses. This is particularly important for out-of-office messages and vacation autoresponders.
